Create games and practices in scheduler

TeamSnap Scheduler allows organization administrators to schedule games and practices across the entire organization, or a select portion of it all at once. Divisional commissioners can use scheduler at the division level at which they have admin access over.

Note: Scheduler-created items can only be edited/managed by organization administrators from within scheduler. Scheduler is available only to administrators of club and league accounts on the 21-day Free Trial, Premium, or Ultra team plans. Schedules created under a trial plan that do not upgrade after the trial will lose access to scheduler and scheduler events in TeamSnap will be locked.

Create the Scheduler Schedule

  1. Access your organization.
    1. Steps for TeamSnap for Clubs and Leagues:
      1. Log into your account at go.teamsnap.com.
      2. Click the organization name under the My Organizations section of your TeamSnap dashboard.
      3. For division commissioners using Scheduler, navigate to the division you have admin access over.
        1. Note: For division schedules created using the Scheduler under a specific division, editing can only be done under the same division Scheduler, editing of division-specific Scheduler-created schedules is not accessible in the league Scheduler.
    2. Steps for TeamSnap for Business:
      1. Log into your account at organization.teamsnap.com.
      2. Click Programs.

      3. Click the program you will be creating a schedule for.
      4. Click the season you will be creating a schedule for.
      5. Optional: To schedule for a single division, click the division you will be creating a schedule for.
  2. Click the Schedule tab.
  3. Click the TeamSnap Scheduler button.
  4. Click the Create New Schedule button.

  5. Enter schedule description/name (e.g. Winter 2017).
  6. Select the locations that will be used for the schedule.

    1. For division scheduling, org-level locations can be used or division-level locations can be used that are restricted to that specific division only.
    2. Events scheduled using Scheduler for a single division with division-level locations will not be displayed under the organization (TeamSnap for Clubs and Leagues) or season (TeamSnap for Business) level Schedule tab but will be visible under that division's Schedule tab. Events scheduled using Scheduler at the division level with org (TeamSnap for Clubs and Leagues) or season (TeamSnap for Business) level locations will be displayed under the organization (TeamSnap for Clubs and Leagues) or season (TeamSnap for Business) Schedule tab.
  7. Click Create Schedule.
    1. For division Scheduler, click Create Schedule and skip to step 12.
  8. Enter and make settings selections in the Settings tab. 
  9. Click Teams to add the divisions/teams that you will be scheduling for.
    1. Click division name to make specific team selections.
    2. Select the checkbox for the divisions/teams to be included.
    3. Click Update Schedule Teams.
  10. Click Venues.
    1. If you made location selections at the beginning your locations should be listed here.
    2. The option to add new venues is at the bottom of the venue list.
      1. Sub-venues can be set up under each venue as needed (Example: Small Field, Court 2, etc).
    3. Each venue can be set to be available for scheduling for league play, practices, or both.
    4. Blackout Dates.
      1. Enter organization-wide blackout dates to prevent scheduling on those dates.
    5. Venue Blackouts.
      1. Enter venue-specific blackout dates to prevent scheduling at that venue on those dates.
  11. Creating a practice schedule (for games, skip to next step):
    1. Click Practices to add practices to your schedule (make sure the practice schedule toggle is ON in Settings)
      1. Select the division you are scheduling for.
    2. Click Settings.
      1. Enter the start date for the practice schedule, number of weeks, and practice length.
      2. Select days for practices to be scheduled, start time, and venues.
        1. *Not seeing venues? Go back to the general settings tab and make sure there are venues set to be available for practices.
        2. Add time slots by clicking the double arrows next to the start time (up arrows add a slot for the hour before, and down arrows add a slot for the hour after).
    3. Click Assign Teams.
      1. Use the dropdown for each date/time slot location to select the team that will practice there.
    4. Click Add Second Team to assign another team to that time slot and location.
    5. Click Schedule.
      1. Review the schedule.
      2. Optional: Toggle to show empty time slots.
      3. Optional: Toggle to view other divisions.
      4. Optional: Click Schedule New Practice to add practices to the schedule.
    6. Click Publish League Schedules.
      1. Select publish option from dropdown.
      2. Select changes to send notifications for.
    7. Click Publish Schedule.
  12. Creating a game schedule (skip if doing practice-only schedule):
    1. Click Games to add games to your schedule.
      1. Select the division you are scheduling for.
      2. Click Settings.
        1. Select days for scheduling games, start time, venue, and sub-venue (if applicable).
          1. Not seeing venues? Go back to the general settings tab and make sure you have venues set to be available for games.
        2. Add time slots by clicking arrows next to time.
          1. Up arrows add a slot for the hour before, down arrows add a slot for the hour after.
        3. Adjust game settings as needed by toggling to override data entered in the general schedule settings tab.
      3. Click Autoschedule League Games.
        1. Select divisions to auto-schedule for.
        2. Click Schedule Games.
      4. Click Schedule.
        1. Review the schedule.
        2. Optional: Toggle to show empty time slots.
        3. Optional: Toggle to view other divisions.
        4. Optional: Click Schedule New Game to add games to the schedule.
        5. Click up/down arrow button to move game to a different week.
        6. Click Swap Weeks to switch week's schedule with another week.
        7. Optional: Click Save Division Schedule as Template at the bottom of the screen to create a template that you can apply to another division for easy schedule setup.
          1. To apply your template to another division, create/add your division teams.
          2. Click the Games tab.
          3. Select the desired division from the dropdown.
          4. Click Apply Schedule Template. 
          5. Select the desired template from the dropdown.

          6. Select the desired template items to apply to the new schedule.

          7. Click Apply Template.
      5. Click Balance Statistics to review.
      6. Click Schedule again.
      7. Click Publish League Schedules.
        1. Select publish option from dropdown.
        2. Select changes to send notifications for.
      8. Click Publish Schedule.
