Archiving a season in TeamSnap for Business

Program administrators can archive completed and past seasons within their parent program to keep team activities and records well-organized. Archiving saves key information from the current season and sets up a fresh start for the next one. This step helps separate past events from upcoming ones, making transitions smooth and data management easier.

Key points to consider:

  • Irreversible action: Archiving cannot be reversed. Ensure you have made all final changes to your season’s data, including checking your rosters, closing your registration forms, and that your financial records look right before proceeding with the archive.
  • Access limitations: Archived seasons are only accessible from the browser version of TeamSnap, not the mobile apps.
  • Archiving historical seasons: Historical seasons for TeamSnap for Clubs that have migrated to TeamSnap for Business must be archived in TeamSnap for Business.

When to archive a season:

  • End of season: After completing all activities and competitions for a particular season, archiving helps segregate data and prepare for the next season.
  • Transitioning to a new phase: When a team or organization transitions to a new phase, such as a different league or division, archiving the previous season separates the old data from the upcoming changes.
  • Annual or cyclical events: For recurring events like annual tournaments, archiving each season allows for the segregation of historical data while starting anew for the next iteration.
  • Change in program structure: If there's a significant change in the program structure, rules, or management, archiving the current season can serve as a checkpoint to initiate a fresh start.
  • Data cleanup: Sometimes, archiving a season is simply a part of regular data management, keeping things organized by separating old and new data.

How to archive a season:

  1. Log in to your organization's site at organization.teamsnap.com.

    Navigate to the program containing the season.

    Navigate to the desired season and click the three-dot button.

    Choose the Archive option.

    1. Archiving a season with ongoing registration will automatically close registration.
  2. Click Confirm.

Upon archiving, the season will be saved within the program, marked with an orange bar to signify its archived status. 

Note: Archiving a season hides its teams from mobile apps for all members.


What to Expect and Best Practices

When you archive, you can expect...

  • The archived team will be hidden from view on both web and mobile
  • On the web, you can still view the archived team in the "show archived/retired seasons" section below your list of active teams

Best Practices

  • Archiving an entire season is a best practice, as it archives all teams in bulk. Unlike retiring teams individually, this method keeps teams visible in the divisions and teams list.
  • Archiving a season includes archiving all teams within it. It’s not possible to archive a season while leaving teams active.
  • Keeping a season active for a longer period won’t cause any issues. If an admin is concerned about staff access or edits to an older season, they can remove other commissioners from the V1 season to limit access to a select few as needed.
