Season Archiving for Clubs and Leagues

This article describes archiving methods for clubs and leagues. Check out  Season Archiving for Teams for standalone team archiving.

Note: The season archive feature is available only for accounts with teams on paid plans, and can only be performed by the club/league administrators on the web app (this function not supported in mobile apps).

Club and League accounts have three different archive options. It's important to review each option and understand each archive outcome to get the results desired. Please review the information below carefully.

Archive Team Season

clears everything with the option to carry forward selected team data

Why choose the team season archive: Need to keep the same rosters for the new season? Already started entering next season’s events into the schedule? If there is any team data that needs to be copied to the new season, choose the team archive. All data at this level can be archived to start with a new, blank season or you can select to carry forward some data into the new season. This archive can be done by any league administrator or the team owner.

Tip: For any member (including administrators) to access a team season archive, they must be members of the team roster before the archive.

These items are available for selection to bring into the new season. If not selected, they will be archived with the outgoing season and cleared for the new season:

  • schedule
  • locations
  • opponents
  • rosters
  • refreshments
  • payments
  • media
  • messages
  • statistics
  • TeamSnap Live chat data
  • *team chat data always copied to the new season and is not archived with the old season

Once a season is archived at the team level, it cannot be undone. Please ensure the correct selections are made for what, if any, team data needs to be brought to the new season.

Team Season Archiving

  1. Log into TeamSnap
  2. Click league name under the My Leagues section of the dashboard (team owners skip to step 3)
  3. Click team name
  4. Click Manager tab
  5. Click Seasons tab
  6. Click Start a New Season button
  7. Enter Completed Season Name and New Season Name
  8. Make selections for any existing data to be carried forward to new season
    1. If any events for the new season have already been entered on the schedule, please make sure you pay close attention to the Event to Start the New Season selection. Once the archive has processed, games/events archived with the old season cannot be brought forward to the new season.
  9. Click Archive This Season and Start a New Season button

What's Next

The archive will process and after a few minutes, the new season will be available. The archived season can be accessed on the web (not mobile apps) on the My Teams and Leagues dashboard screen by clicking Show Archived/Retired Seasons at the bottom of the My Teams section.


Archive Division Season

clears everything in the selected division with the option to copy division/team names forward

Why choose the division season archive: Need to archive the season for a single division while leaving the rest of the club/league active? This archive option can only be done by a commissioner, and does not carry any existing data over to the new season but does provide the opportunity to carry forward division and/or team names if selected.

These items are available for selection to bring into the new season. If not selected, they will be archived with the outgoing season and cleared for the new season:

  • subdivision names
  • team names

These items are not available for selection to bring into the new season and will be archived with the outgoing season and cleared for the new season:

  • schedule
  • locations
  • opponents
  • rosters
  • refreshments
  • payments
  • messages
  • statistics

Division Season Archiving

  1. Log into TeamSnap
  2. Click League name under the My Leagues section of the dashboard
  3. Click Settings tab
  4. Click Seasons button
  5. Click Archive Division button
  6. Enter Completed Season Name and New Season Name
  7. Make selections for division and/or team names to be carried forward to new season if desired
  8. Click Archive This Season and Start a New Season button

What's Next

The archive will process and after a few minutes, the new season will be available. The archived season can be accessed on the web (not mobile apps) on the My Teams and Leagues dashboard screen by clicking Show Archived/Retired Seasons at the bottom of the My Leagues section.


Archive Full League Season

saves a copy of current season for archive, then clears all data for the new season with options to bring division and/or team names to the new season

Why choose the full league archive: Want to start your season with a totally clean slate? Then the full league archive is for you! This archive option can only be done by a roster member with commissioner access. 

These items are available for selection to bring into the new season. If not selected, they will be archived with the outgoing season and cleared for the new season:

  • division names
  • team names
  • registration forms

These items are not available for selection to bring into the new season and will be archived with the outgoing season and cleared for the new season:

  • schedule
  • locations
  • opponents
  • rosters
  • refreshments
  • payments
  • messages
  • statistics
  • registrant data (completed registration information)
Note: New season registration forms are copies of archived season forms. Copied registration forms will not contain player or participant data from the prior season, and will have a brand new and unique public registration address.

Full Sports Organization Season Archiving

  1. Log into TeamSnap
  2. Click League name under the My Leagues section of the dashboard
  3. Click Settings tab
  4. Click Seasons button
  5. Click Archive Full League button
  6. Enter Completed Season Name and New Season Name
  7. Make selections for divisions and/or team names to be carried forward to new season if desired
  8. Click Archive This Season and Start a New Season button

The archive will process and after a few minutes, the new season will be available. The archived season can be accessed on the web (not mobile apps) on the My Teams and Leagues dashboard screen by clicking Show Archived/Retired Seasons at the bottom of the My Leagues section.
