Sending Emails in TeamSnap

TeamSnap allows members to send emails to one or more members from the Messages tab on both the web and mobile applications. The Messages tab can send emails to active email addresses listed on roster profiles. Any email address with the checkbox "Receive Emails" selected will receive messages sent to that roster profile member. Your Messages tab allows you to select categories of roster profiles based on roster profile member type and/or profile assignment.

Formatting Emails in TeamSnap

When you use the Messages tab on the web application to compose email messages, there is a formatting toolbar built in to the message editor. 

Use the formatting options in the toolbar to add formatting such as colored fonts, hyperlinks, bold, bulleted lists, etc.

  • For best results, do not copy and paste from an outside source as this may result in formatting that looks off. If you must copy and paste from another source, paste without including formatting using these paste shortcuts: 
    • Mac: cmd-shift-v
    • Windows: ctrl-shift-v 
  • Formatting such as fonts, colors, etc. can only be set up and displayed in the web app. They will not be displayed in the mobile app. 
  • A hard return (Enter) will result in double spacing. 
  • For single spacing, use Shift + Enter.
  • To insert a link in your message, highlight the desired text and click the chainlink icon in the formatting toolbar. You can then enter or paste the URL you'd like the text to link to.

Send an Organization Email (web)

Currently, messages sent from the league or division level will only be displayed in the mobile version of TeamSnap for recipients.

  1. Log into TeamSnap from a web browser
  2. Enter your club or league under the My Leagues section of the Dashboard screen
  3. Click the Messages tab
  4. Click Email [League Name]
  5. Enter your message subject and the body of your email
  6. Optional: Select alternative email from your profile to send the message from (applicable only to admins with multiple active emails listed on their roster profile)
  7. Select the message recipients
    1. Optional: Select the checkboxes to select the full divisions(s) and/or team(s) you wish to email
      1. Optional: Click Select All to automatically select all teams and divisions within the organization 
    2. Optional: Select a subset of members from your selection to email
      1. Select Everyone to send the message to all roster members on the selected teams 
      2. Select Managers to send the message to members with manager permissions on the selected teams
    3. Optional: Select Email all commissioners to include your commissioners 
    4. Optional: Select Email members not assigned to a team to include members that are in "Not Rostered" status 
    5. Optional: Select Send a copy of this email to myself to include yourself as a recipient
  8. Optional: Click Add File to add an attachment to your message
    1. You can add multiple attachments to an email message, the maximum combined file size is 20 MB. 
    2. The functionality to send or view an attachment is not available in the mobile app.
  9. Click Send Email
Note: Messages sent from a division-level Messages tab will only go to profiles assigned to that division. If you send a message to "members not assigned to a team" while on a division-level Messages tab, the message will still show as 'sent' from other organization Messages tabs, but only profiles that are located in that division--from which the message was originally sent--will have received that message.

Send an Organization Email (mobile)

  1. Open the TeamSnap app 
  2. Tap your team or organization (org admins only) name 
  3. iOS: 
    1. Scroll to the bottom of the screen and tap desired recipient group
  4. Android: 
    1. Tap the + icon in the bottom right corner 
    2. Select the email recipient group
  5. Enter the email subject and message
  6. Tap Send (iOS) or the send icon (Android)

Send a Team Email (web)

Messages composed on the web will occasionally be auto-saved. The auto-save feature saves your email content to the local memory of your current browser. It does not create a draft of your email. If you leave the browser and return, you will see your auto-saved content when you compose a message only if you are using the same browser that it was auto-saved in. If you begin composing a new message, it will overwrite the auto-saved content and that content will be lost. To ensure that your message is saved if you need to return to it later, make sure to use the Save as Draft button.

  1. Log in to TeamSnap from a web browser 
  2. Enter your team or organization site (org admins only)
  3. Click the Messages tab
  4. Click Emails 
  5. Click the + New Email button 
  6. Enter your email subject and message body
  7. Select your Recipients 
    1. Only team members with their emails enabled to receive messages on their roster profile will be available for selection.
  8. Optional: Click the Add File button to add an attachment to your message
    1. You can add multiple attachments to an email message, the maximum combined file size is 20 MB. The functionality to send or view an attachment is not available in the mobile app.
  9. Optional: Click Save as Draft if you need to save your email to return to later
    1. Draft emails are listed in your Sent email list, indicated by a pencil icon with "Not yet sent" for the send date. Click the subject line of your draft email in that list to reopen and finish it. 
    2. Draft emails cannot be saved or sent from the mobile app.
  10. Click Send Email 

Send a Team Email (mobile)

  1. Open the TeamSnap app 
  2. Tap your team or organization (org admins only) name 
  3. Navigate to the message menu item
  4. Tap the + icon and select New Email
  5. Tap the To field and select your recipients 
  6. Tap the check mark icon
  7. Enter a subject and Compose your message
  8. Tap Send for iOS or for Android tap the image in the upper right
