Here’s what you can do right now to get acquainted with TeamSnap for Business:

Note: In this Step-By-Step Upgrade Guide, we’ll refer to TeamSnap for Clubs & Leagues, or Classic (this is the current version you have been using) and TeamSnap for Business as TSB (this is the upgraded version you now have access to).


Logging In and Managing Active Seasons

✅  If you are in the middle of an active season, you will continue to manage your season in C&L. When you are ready to start a new season, you will create them in TSB and archive the season when it ends.

❗ Archiving is a permanent action and stores a read-only version of your season for future reference (Archiving a season in TeamSnap for Business).

Login to your Organization

Go to organization.teamsnap.com Your Username and Password have not changed. Your staff can continue accessing your active season in C&L.

When you're ready to start a new season, click on Guide My Setup to set up your Programs, Seasons, Divisions, and Teams. The new structure eliminates the need for complicated division structures. Adding and Rostering Players

You can add players by registration forms or by importing them from Clubs & Leagues. We'll show you how to do both:

What’s new: Waitlists, Offer Multiple Installment Plans, Easy-to-use guided setup, Unique bank accounts can be added per form, Saved Question Form Fee library, Percentage-based discounts, Stackable discounts, A custom confirmation message, Registration Group Descriptions

What’s Changed: Custom Installment Plans have been replaced with flexible installment plan options. Auto-rostering is done by the Participant Group. You can auto-roster by team or division.

Please note: the above refers to the New TeamSnap for Registration. If you are using the Classic version of Registration the registration experience will not change. Please contact your CSM for guidance if you rely on the USA Lacrosse, USA Hockey or Hockey Canada Integrations.

Import your Players

Not using TeamSnap registration? You can still import your members from Clubs and Leagues to TeamSnap for Business. Just follow these steps. If you are using an alternate registration tool, skip to step 3.

  1. Export your Member Data from C&L: Export Roster List - TeamSnap Playbook 
  2. Format your file to match the Roster Import Template
  3. Upload to TeamSnap For Business:
    IMPORTANT NOTE: If a player is imported and also registers through TeamSnap registration, a duplicate profile will be created.

Org-Wide Financial Reports

Scheduling

New Org-wide Calendar, Filter and export up to 90 days of your calendar’s events, Locations shared across divisions/teams can be created at the program-season level. This replaces a shared list of org-wide locations and creates more specific options for divisions/teams.

Historical schedules will appear in your TSB Org Wide Calendar. Clicking the source will take you back to the location in C&L where you can edit the event.

Frequently asked questions

Why did you build a new platform?

The new TeamSnap for Business embodies our commitment to building robust solutions for large and small customers to manage their operations without sacrificing the experience of their admins, coaches, parents, and players.

What new features do I have access to?

TeamSnap for Business helps you manage multiple programs and seasons simultaneously in one place. It has enhanced registration and reporting tools and organization views of your calendar, members, search, and financials to the day-to-day of managing your organization easier. You can learn more here.

Will my retired seasons remain accessible?

Yes! You can continue to access your records through your newly upgraded account.

I can’t find my old teams.

The Historical Seasons Program will hold any of your previous account information, including your old teams. You can access those by clicking Programs > Historical Seasons

Do we still have Commissioners?

TeamSnap for Business has slightly different roles and offers other, more specific options like Program Admin, Program Coordinator, and Division Coordinator. Here is a link to learn more: User Roles & Permissions in TSB

My Website is not linked in TSB

It may take up to 24 hours to connect your TeamSnap Website to your dashboard. If you can not access your site after 24 hours, please contact support so they can make sure it’s connected properly.

My merchant account can’t be verified

Merchant account verification requires that all fields have been filled out completely. Should any of this information be missing or not match the details provided for your deposit account, additional information may be required to our financial services Partner, Stripe, directly. I liked the old version. Can I go back?

TeamSnap for Business is our newest platform and where all future updates and improvements will be made. It is not possible to downgrade to TeamSnap for Clubs & Leagues. However, you can still manage your current seasons in C&L until you’re ready to move.
If you have questions about any of our existing features or need help managing your active seasons, we are happy to get you connected with a member of our dedicated Support Team!

I want to use the same form to sign up players in different programs. Can I do that?

In TSB, registration forms are tied to the season level. To sign a player up for soccer and baseball, they would need to be divisions under the same season all under one program.
However, we recommend having two separate forms and keeping these categorized as programs.

TeamSnap for Business, (Internal references: Version 2, TSB) Our newly upgraded software solution for managing your sports organization a.k.a. TSB
TeamSnap for Clubs & Leagues, (Internal references: Version 1, C&L) Our legacy product to support Club & League Management a.k.a Classic
Historical Seasons A record of your data and organization information created within our Clubs & League product
Historical Seasons Program A separate program in TSB called "Historical Seasons" that contains all data previously generated in TeamSnap for Clubs & Leagues
Migrated Members TeamSnap for Business member records are automatically created for each unique member that does not already exist.
Programs The organized grouping of activities for categorizing services to athletes. 
Program Attributes Information that determines the properties of a program's underlying structure.
Classic Registration Our legacy registration product. Registrations that are using classic registration are noted with a “Classic” badge in TeamSnap for Business.

Capacity A limit that can be set for participant groups within a registration

Roster Status Participants who have completed registration
Ready to Roster Registration and payment have both been completed and the participant is ready to be rostered to their division/team
Merchant Account A merchant account holds payments received before they are moved to your deposit account
Merchant Library A collection of merchant (deposit) account information that only needs to be added once in Reg 2
